Concerning Personal Data Processing

Introduction

We are committed to the protection and promotion of your privacy. In connection with your application for employment with us at Transact Campus, LLC., it is necessary for us to collect, store, and use information about you (“Personal Data”) to administer and evaluate your application. We are the “controller” of the Personal Data you provide and will process it in accordance with applicable law and the statements contained in this Notice.

 

Scope

To facilitate coordinated and secure processing of your data during the application process, we rely on one or more HR systems operated by us or the Roper Technologies group (the “Roper Group”). We may also share information with other Roper Group members if they have roles suitable for your skillset.

 

Categories of Personal Data We Collect

Your Personal Data is collected to manage your application from submission through employment start (if applicable).

  • If you accept employment, your information will be handled under our Employee Privacy Notice.

 

Sources of Information

We collect Personal Data directly from:

  • Your application, resume, and materials
  • Named references
  • Public sources (e.g. LinkedIn, Facebook)
  • Background check providers (after a conditional offer)

If you withhold necessary data (e.g. work history), we may not be able to process your application.

 

Purposes for Processing Personal Data

  • Evaluate your qualifications for roles
  • Verify information and conduct background/reference checks
  • Communicate about your application process
  • Inform you about other job opportunities within Roper Group
  • Assist with visa or work permit applications
  • Meet legal and regulatory obligations
  • Serve other legitimate purposes consistent with application processing

Note: We do not sell your Personal Data provided during the application process.

 

Sensitive Personal Data

We collect sensitive data (e.g. health, race, religion) only when necessary for:

  • Accommodations,
  • Legal or regulatory compliance, or
  • With your explicit consent.

Recipients of Personal Data

We share data with:

  • Roper Group affiliates (for recruitment across roles)
  • Authorized third parties for application processing
  • Acquirers during business transactions (with continued privacy protection)

All recipients are required to handle data per this Policy, or we will act accordingly.

 

UK/EU-Specific Data Subject Rights

If you reside or apply in the UK/EU, you may exercise rights including:

  • Access, correction, erasure, objection to processing
  • Data portability
  • Restrict processing

Transfers to Third Countries

Your data may be transferred to Roper Group offices worldwide. For data transfer from the EU/UK, we rely on Standard Contractual Clauses. We apply this Policy globally.

 

Protection of Personal Data

We use administrative, technical, and physical safeguards including encryption and secure servers to prevent unauthorized access, use, or disclosure.

 

Retention of Personal Data

Your data is retained only as long as necessary for processing or required by law, in accordance with our corporate data retention schedule.

Updates

We may update this Notice periodically. The “Last Reviewed” date will be updated and, where material changes occur, you will be notified directly or via a prominent notice. We reserve the right to update this Employment Candidate Privacy Notice from time to time. When we do, we will revise the “last updated” date at the top of this Notice. If there are material changes to this Notice or in how Transact will use your personal data, we will use reasonable efforts to notify you either by prominently posting a notice of such changes before they take effect or by directly sending you a notification.

The Company will process the following categories of data based on legitimate grounds for processing.

    • Health-related information (only when required by law)
    • Job interview notes
    • Travel Related Records
    • Data relating to work preferences and availability
    • Screening question responses

2. Personal Details necessary to comply with Company’s legal obligations.

Some examples of the legal obligations include:

  • Record-keeping and reporting obligations
  • Physical access policies
  • Conducting audits, compliance with government inspections and other requests from government or other public authorities
  • Responding to legal processes, pursuing legal rights and remedies, defending litigation and managing any internal complaints or claims, conducting investigations, and
  • Complying with internal policies and procedures.

  • Driver’s license
  • Health data
  • ID card data
  • Citizenship
  • Passport data
  • Details of residency or work permit
  • Disability status
